Responsibilities

-Supervise daily customer service activities, ensuring timely and professional responses to inquiries
-Oversee the end-to-end order-to-cash process, including sales orders, delivery, invoicing, and payment collection
-Facilitate effective communication between customers and internal teams (Sales, Planning, Logistics)
-Assist Sales with quotation preparation and contract documentation
-Monitor inventory levels and logistics performance; coordinate with regional teams to resolve delivery and customs issues
-Lead implementation and internal rollout of client-facing logistics or order management systems
-Promote use of digital tools (e.g., Power BI, ERP systems) to improve visibility, productivity, and reporting accuracy
-Collaborate with IT and regional teams on system upgrades, user training, and process digitalization
-Conduct regular operational and sales analysis using reporting tools to track performance and identify improvement opportunities
-Support forecasting and budget reporting in coordination with Sales teams
-Maintain accurate customer account and order data, including master data management
-Ensure compliance with trade regulations, internal policies, and customer requirements
-Drive process improvement initiatives to enhance customer service, order fulfillment, and logistics efficiency
-Support customer visits and audits by preparing documentation and coordinating internal functions

Qualifications

-5+ years of experience in operations, logistics, or related functional areas
-Experience managing or closely working with operational teams
-Solid understanding of order processing, documentation, and operational workflows
-Experience supporting system implementations or digital process improvements
-Proficiency with data analysis and reporting tools (e.g., BI tools, ERP systems, or advanced spreadsheets)
-Bachelor’s degree in Business, Management, or a related field
-Professional-level proficiency in Japanese and English
-Self-motivated, detail-oriented, and able to independently manage operational tasks in a small, fast-paced team
